We follow a structured, assessment-first approach. Every client begins with a dedicated 90-minute assessment appointment before any treatment sessions are offered. This ensures you receive the most appropriate care from the right therapist.
Getting started with Verus Minds is straightforward. Here is what to expect at each stage:
Complete a referral form: Fill in our short online referral form. This helps us understand your difficulties and check that our service is the right fit for you.
We review your referral: One of our founders reviews your form within 2–3 working days. We will contact you to let you know whether we can offer you an appointment, or to signpost you to more appropriate support if needed.
Book your assessment: If accepted, you will be invited to book and pay for a 90-minute Assessment & Formulation Session (£135).
This is a structured clinical appointment, not a trial therapy session.
Attend your assessment: Your assessor will carry out a full CBT assessment, develop a shared formulation with you (a map of how your difficulties are maintained), and discuss treatment recommendations.
Treatment begins: If CBT treatment is recommended and you would like to proceed, you will be matched with a therapist and offered treatment sessions. Online sessions are £90 and face-to-face sessions are £110 (50 minutes each).
Ongoing treatment: Sessions are focused and goal oriented. We use standardised outcome measures throughout to track your progress. Most courses of treatment run between 8 and 20 sessions, in line with NICE guidelines.
Important: this is not a crisis service
Verus Minds is a private outpatient CBT clinic. We are not an emergency or crisis service and cannot provide same-day or urgent appointments. If you are in crisis, please contact 999, attend your nearest A&E, call NHS 111 (option 2), or contact the Samaritans on 116 123 (free, 24/7).
InsuranceWe do not bill insurers directly. If you have private health insurance, your policy may reimburse you for therapy costs — please contact your insurer directly to check your cover before booking. We can provide receipts and clinical letters to support reimbursement claims on request.

Fees
Verus Minds is a self-funded private service. There are no NHS referrals and no insurer billing. All fees are confirmed before any appointment is booked and will not change during your course of treatment without prior written notice.
Assessment & formulation session : £135 (90 minutes)
CBT treatment – online: £90 (50 minutes, via secure video)
CBT treatment – face-to-face: £110 (50 minutes, at an agreed clinic location)
Payments
Payment is required in advance of every appointment
Payments are made securely via our online booking system
All payments are made to the clinic — not to individual therapists
We do not store card details; all payment processing is handled securely by our booking system
Cancellations and non-attendance
We require at least 48 hours’ notice to cancel or reschedule an appointment. This applies to both assessment and treatment sessions.
48 hours or more notice: No charge. Your appointment can be rebooked.
Less than 48 hours’ notice: Full session fee charged.
Did not attend (no notice given): Full session fee charged.
Exceptional circumstances: We may use our discretion in genuinely exceptional cases. Please contact us as early as possible.
We apply this policy consistently and fairly to all clients. The cancellation policy is set out in full in your Consent & Agreement Form, which you will receive before your assessment appointment.

Raising a concern informally
If you have a concern, we encourage you to raise it as soon as possible — either directly with your therapist in a session, or by contacting us at info@verusminds.co.uk. Many concerns can be resolved quickly through a straightforward conversation.
Making a formal complaint
If your concern cannot be resolved informally, you can make a formal complaint by emailing info@verusminds.co.uk. Please include your name, a description of your concern, and the date(s) or session(s) involved if known.
Once we receive your complaint:
Acknowledgement: We will acknowledge your complaint within 5 working days.
Review: A founder will review your complaint carefully and fairly. This may include reviewing relevant records.
Respond: We will provide a full written response within 20 working days. If the matter is complex and takes longer, we will let you know.
Outcome: Our response will explain what we found and any action we are taking. Possible outcomes include an explanation, an apology, or changes to our procedures.

Who we are
Verus Minds Psychological Services Ltd is the data controller for all personal information collected through our referral process and during therapy. We are registered with the Information Commissioner’s Office (ICO), registration number: ZC109698.
What information we collect
Contact details: name, email address, phone number
Date of birth and demographic information
Information about your difficulties, shared through the referral form and in therapy
Clinical records, including session notes, formulations, and outcome measure scores
Appointment and payment records
Some of the information we hold is special category health data under UK GDPR. We process this lawfully under Article 9(2)(h) — provision of health care.
How we use your information

How your information is stored
Accepted client records are stored securely in WriteUpp, our UK-based clinical management system
Referral data is held in Jotform (pre-acceptance only) and securely deleted within 90 days if you do not proceed.
Administrative email may be used for non-clinical communication such as appointment queries. The clinic's email systems are UK-based and access-controlled.
Clinical information is not routinely transmitted or stored via email or on personal devices.
Who we share your information withWe do not sell your data or share it for commercial purposes. We may share information in the following circumstances:
Clinical supervisors: Cases may be discussed anonymously in supervision to maintain the quality and safety of your care.
Your GP: With your consent, or in an emergency where there is an immediate risk to your life or another person’s life.
Software Providers: WriteUpp and Jotform process data on our behalf under data processing agreements and are GDPR-compliant.
Legal authorities: Where we are legally required to disclose, for example, by court order.
Emergency services: Where there is an immediate risk to life.
How long we keep your information
Accepted client records: Minimum 7 years post-discharge (or until age 25 if you were under 18 at the time of treatment)
Declined referral data (Jotform): Up to 90 days, then securely deleted
Your rights
Under UK GDPR you have the right to access your data, request corrections, restrict processing, and complain to the ICO. To exercise any right, contact us at info@verusminds.co.uk.
